The Candidate
  • Pleasant personality, with excellent interpersonal skills and telephone etiquette

  • Confident and presentable

  • Knowledge of Microsoft applications

  • Responsible, organised, meticulous with strong numerical skills

  • Flexible, proactive and able to multi-task with minimum supervision

  • Experience in accounts payable and accounts receivable 

  • Understanding basic principles of finance, accounting and bookkeeping 

The Role

Accounts Receivable

  • Prepare invoices to client 
  • Send monthly Statement of Account to client
  • Review monthly Debtors Ageing report & follow up with client AP/client service team on overdue invoices to ensure timely collection of debts
  • Assist in answering queries from client regarding invoices/PO issues
  • Review Master Accounts (MA) to ensure accurate entries (i.e. third party cost/correct job number, etc) and with a view to maximise monthly billing 
  • Ensure PO is received for billing
  • Weekly Accrued Income (AI)/Debtor report for Monday Meeting
  • Other ad hoc assignments

Accounts Payable

  • Prepare PO for suppliers
  • Scan, upload Invoice to Paprika & update Invoice infoto the system
  • Check Suppliers Statement to match Credit or Ageing report

Office Management 

  • Staff relocation - book flights/accommodation

  • Set up email / computer / desk / Mintel account

  • Issuance of building access card

  • Door /security system – prepare monthly reports, taking of fingerprint for new staff

  • Email routing on leaving staff

  • Return work pass of leaving staff

  • Obtain/file signed NDA/T&C from freelancers

  • Attend to phone enquiries / clients / visitors

  • Monitor stock/purchase of stationery / pantry supplies

  • Courier / postage

  • Sourcing / liaison with building management, contractors and suppliers on building

    maintenance/building access card record, office equipment / services etc

  • Travel arrangement – accommodation / flights

  • Social events – staff birthdays, welcome/farewell drinks, CNY, Xmas, working lunches
