Do you have a background in office management and HR? Have you worked in an agency setting? Our client is a leading brand design consultancy pioneering a more agile approach to brand development. As a consumer branding specialist, they focus on world-class structural/3D and graphical/2D pack design as well as in-store communications for MNCs. 

The successful Administration Assistant will be business-savvy, with good commercial acumen and excellent people management and mentoring skills. 

The Candidate

Our Client is looking for someone with wide skill set. You must have worked for an agency before and have background in

  • HR
  • Managing recruitment
  • Admin

Experience within a Creative studio is preferred – Media, Design,. Digital, Social, Advertising – all would help benefit your application. 

This role is only open to Singaporean/PRs . 

The Role

A fantastic opportunity for an experienced HR and Office Manager to join a great design agency. They would be looking for you to do the following tasks:

Management Team (10%)

  • Expense claims/credit card statements
  • Personal Financial matters
  • Home leave

Human Resources: Recruitment (40%)

  • advertisements
  • arrange interviews/skype internships coordination work pass application
  • appointment letter
  • staff relocation - book flights/accommodation
  • enroll in group insurance plan
  • set up email / computer / desk / Paprika / Mintel account issuance of building access card
  • welcome gifts for new staff
  • 1-way car pick up on 1st day for new staff
  • book annual home leave flights

Exit (10%)

  •  tax clearance for non-local staff
  • letter of Undertaking for staff who are Singapore PRs§ cancel group insurance plan
  • email routing on leaving staff
  • cancel work pass
  • final payment / exit
  • return work pass of leaving staff

Maintenance of Staff benefits and Reviews (25%)

  • Monitor EP/S Pass renewal 
  • Update MOM on passport renewal, change in marital status, new residential address
  • Staff confirmation
  • Salary review
  • Long service award
  • Annual /medical leave
  • Government paid childcare leave submission
  • Obtain/file signed NDA/T&C from Freelancers

3. Office Admin (15%)

  • Phone enquiries / clients / visitorsRenew office insurance plans, eg furniture/fittings, computers
  • Monitor stock/purchase of stationery / pantry supplier
  • Courier / postage
  • Sourcing / liaison with building management, contractors and suppliers on building maintenance/building access card record, renovations, office equipment / services etcName cards printing and coordination
  • Travel arrangement – accommodation / flights / visa / trip itinerary
  • Vetting of documents – NDA / Master Agreement/HR policies etc
